Questions shop owners actually ask.
Straight answers from the last 200 onboarding calls. If yours isn't here, ask us.
Getting started
Most shops are sending their first real quote within 2 days. Here's what that looks like.
For a 1–10 tech shop: about 2 days. Day 1 you import customers and connect QuickBooks (we'll help, free). Day 2 you send your first quote and schedule your first job. We don't gate this on a "success call" — you click through in the product.
Larger shops (50+ techs) typically take 1–2 weeks, mostly for data cleanup and field app rollout.
No. Start a 30-day trial, poke around, do real work in it. If you want a guided tour, we offer one — but it's opt-in, not required. Enterprise plans are the only tier that requires a call.
Our smallest active shop is a 2-person owner-operator in Tennessee. They use Starter at $25/user/mo. The economics work because even one extra recovered renewal per year pays for it.
Yes. Upload any PDF inspection form (NFPA 10, 25, 72, or your AHJ's custom template) and our form mapper turns it into a digital checklist. We include 30+ NFPA forms out of the box.
Your data stays. Your account moves to read-only, and you can export everything (including signed PDFs and customer lists) as CSV or QuickBooks-ready files. We email you before the trial ends, and you're never charged unless you choose to continue.
Pricing & billing
Flat per-tech pricing, no surprise overage bills. What the invoice actually looks like.
Yes — "technician" = anyone who logs time in the field app. Office staff (dispatchers, AP, admins) are free and unlimited. So a 5-tech shop with 3 office staff pays for 5 seats.
SMS: outbound customer notifications only (appointment confirms, on-the-way alerts). Inbound SMS is free. Storage: PDFs, photos, and voice notes count. Most shops use 5–10 GB in a year.
Not for Starter or Business. For Enterprise (75+ techs) we charge a one-time $5K implementation fee that covers white-glove data migration, SSO setup, and 8 hours of training.
Yes, anytime. Switching to annual mid-term credits you the difference. Downgrading from annual to monthly kicks in at renewal.
Yes — 501(c)(3) fire-safety non-profits get 30% off. AHJ / city fire marshal offices get portal access free, forever. Contact us with your credentials.
Credit card (Visa, Mastercard, Amex), ACH, and invoice/wire for annual plans over $5K. All billing runs through Stripe.
Data migration
The scariest part of switching software. It isn't that bad.
Yes — we have direct importers for all three, plus generic CSV/Excel. Customers, sites, devices, past reports, and open jobs. Historical invoicing stays in your books; we don't try to duplicate it.
One-click sync. Connect QB Online and we pull customers, jobs, and open invoices — then keep them in sync both ways going forward. No rekeying.
Most shops start by importing only current customers and active recurring jobs — everything historical stays in the file cabinet. For digitizing paper inspection records, we partner with a scanning vendor; optional add-on.
Always. CSV export of everything, PDF bundles of all signed reports, and a cryptographically signed audit log. Your data is yours.
Field app
The one your techs actually use on job sites.
Yes — fully offline-first. A tech can run a whole day in a basement mech room with zero bars. Photos, voice notes, signatures, and tag prints all queue locally and sync when you're back on cell or wifi.
Zebra ZQ310 / ZQ510 / ZQ511 / ZQ520 / ZQ610 series over Bluetooth. Brother RJ-4230 and RJ-4250. Plus any generic ESC/POS Bluetooth label printer. We do not require a van-tethered laptop.
Yes, scoped to their assigned jobs. They see drive time, site notes, device trees, and past reports — no access to customer financials or other techs' work.
It runs locally on-device using a tuned Whisper model. It's surprisingly good in boiler rooms and parking garages; less good next to a running generator. You can always edit the transcript.
Yes — CAT, Samsung XCover, Kyocera DuraForce, Sonim. Anything running Android 10+ works. We test against the Samsung XCover Pro on every release.
Compliance & audit
The part the fire marshal cares about.
Yes. We ship NFPA 10, 25, 72, and 2001 templates out of the box, plus custom templates per AHJ. Reports include cryptographic hashes so an inspector can verify the PDF hasn't been altered.
Every printed tag carries a QR that deep-links to that device's record in our public portal — last inspection, pass/fail, next due, signed PDF. AHJs can scan it on-site without an account.
Yes. Every record change (who, what, when, from-IP) is written to an append-only log, signed hourly with a rotating key, and exportable as CSV. Legal holds freeze deletion on tagged records.
You choose — 7 years is the default (common AHJ requirement). Enterprise plans support indefinite retention. Deletes are soft for 90 days, then purged.
Security
The answers your IT person wants.
AWS us-east-1 and us-west-2, active-active. Canada (ca-central-1) and EU (eu-west-1) regions available for Enterprise with data-residency requirements.
SOC 2 Type II — yes (annual). ISO 27001 — in progress, expected Q3. HIPAA: we sign BAAs on Enterprise.
Yes. Okta, Azure AD, Google Workspace via SAML 2.0. SCIM provisioning on Enterprise. Business and up include SSO.
Notification within 72 hours with scope, affected records, and remediation steps. All data at rest is encrypted with per-tenant keys (KMS envelope encryption), so a blast radius stays bounded.
